【Main Duties and Responsibilities】
1,General office administration
• Manage and distribute information within the office and other group companies
• Receive and look after visitors
• Answer phone calls
• Coordinate office activities and operations to secure efficiency and compliance to company policies
• Manage correspondence by sorting and distributing letters, emails and faxes
• Conduct all necessary work involved with sending or receiving parcels or special delivery mail
• Arrange logistics and courier services on behalf of coworkers
• Manage mobile phones and related contracts
• Complete regular stock checks and place replenishment orders as necessary
• Tracking stocks of office supplies/stationery and place orders when necessary
• Order business cards for coworkers
• Coordinate maintenance of office equipment
• Maintain company records e.g. staff, telephone, office key list etc.
• Assist with general filing and clerical duties
• Manage agendas/travel arrangements for the upper management
• Administration of new starter processes
• Submit timely reports and prepare presentations as assigned
• Assist in planning and arranging events
• Interact with directors and carry out their requests
• Resolve any queries that arises in a timely and professional manner
• Ensure cleanliness of office space and meeting rooms
• Maintain regular and effective communication with building management and/or landlord
• Take responsibility as first aider, fire warden and evacuation helper
• Coordinated company vehicle arrangements and managed related insurance policies and renewals
• Handled administrative tasks related to corporate insurance, such as documentation, contract updates, and claim support.
• Other misc. responsibilities may be added from time to time
2,Accounts assistance
• Work with the accounts team to maintain an efficient filing system
• Assist the accounts team with processing supplier invoices and expense claims
• Archive letters, invoices and other documents as necessary
【Working Conditions】
• Monday to Friday (with 1 hour lunch)
• Office-based position
• Willing to work on a flexible basis to meet job requirements
• Ability to cope with full working day
【Salary】
• From £42,000 per annum (negotiable depending on experience)
【Technical skills/Qualifications】
Essential:
• Minimum of 2 years’ experience in an office administration role
• Highly motivated
• IT literate – proficient in the use of MS Office applications – Word, Excel, PowerPoint.
• Excellent planning and organisation skills
• Attentive to detail
• Be used to and confident in dealing with all levels of managers and suppliers/ contractors
• German language skills
• English language skills
